Office Administrator Job Description

Our Mission: LONG LAKE LUTHERAN CHURCH IS CALLED TO PROCLAIM THE JOY OF SALVATION THROUGH WORD AND SACRAMENT

Hours: 40/week full time hourly position 8-5 M-F

Requirements: High School Diploma/GED, Post high school education and experience in financial administration, human resource management, property management, and technology training

Direct supervisor: Senior Pastor

Indirect supervisor: Current Council Chair

General Responsibilities

This position requires absolute confidentiality.

This position has the authority and responsibility to support administrative leadership. It includes providing support and encouragement to leaders and staff in the operations of the church, its programs and services.

It is critical that the person serving in this position maintains a cheerful, welcoming and caring disposition meeting the needs of staff, team leaders, volunteers, congregational members and guests. Competency,  flexibility, and support of our mission are keys to this position.

This position requires a strong sense to serve others. Applicant must be a practicing Christian. Work experience in a church or faith-based setting is preferred.

  • A continuous improvement mind-set; continuing education (CE) is very important (paid time will be provided for CE)

Specific Duties

  1. Office Administration
    • Greet those who come into the office, answer questions, give assistance, and refer to the proper staff, pastor or council person as necessary
    • Answer phones and respond to voicemail
    • Read and respond to e-mail; collect and distribute mail
    • Maintain mailing and e-mail lists
    • Maintain database
    • Maintain attendance records
    • Generate and prepare weekly bulletin and monthly newsletter
    • Maintain church calendar and online schedule
    • Update announcements for publications
    • Monitor and update prayer list
    • Update and maintain community resource materials
    • Oversee kitchen and custodial supply orders
    • Assist with visitors, new members, and volunteer coordination
    • Perform other tasks as requested by pastor, staff or council
  2. Financial
    • Process weekly contribution information
    • Handle request forms and pay bills
    • Print and insert the graph of expenses vs. contributions in the bulletin each month
    • Provide support to staff and team leaders with their budgets
    • Work with accountant and financial institutions
    • Provide support to the stewardship team with its annual campaign
    • Provide LLLC documents in a form suitable for audit
    • Maintain files on important permanent documents
  3. Coordination, Development, Communication
    • Attend weekly staff meetings
    • Provide clerical support to pastor, staff, council, and other ministry leaders
    • Assist in the administration of hospitality procedures of the church
    • Assist with the coordination of church events such as funerals
    • Create and prepare publication for all newspaper ads, Facebook, electronic sign messages, e-mail blasts, and flyers
